Administrative Coordinator
Are you looking for the opportunity to have your contributions immediately recognized and appreciated? The Media Financial Management Association (MFM) has an immediate opening and seeks an administrative coordinator/assistant who can manage projects for a growing not-for-profit association on the North Shore. The Administrative Coordinator reports directly to the President & CEO, providing support in various areas of the organization.

Our ideal candidate is a team player, personable, hardworking, flexible, a logical thinker and energetic self-starter who enjoys a collaborative small casual office environment and will be confident when representing the association in a variety of situations.

Responsibilities Include

  • General administrative activities including, but not limited to, mail distribution, answering phones, general written and e-communication correspondence, ordering of supplies, file maintenance, and data management.
  • A/R and A/P Management
  • Proofreading materials
  • Maintains ongoing communications with Board
  • Management of Distance Learning Webinars; assistance for Regional Seminars and other events/meetings
  • Active participation in preparations for and administration of the annual conference
  • Quarterly report compilation and CPE correspondence with NASBA and members
  • Support and assisting association's employees
  • Some travel – primarily to association’s annual conference in May
  • Other duties as assigned


Bachelor’s degree preferred with 2-5 years of administrative experience.

This is a position with growth potential. We offer support, professional memberships and training to help you achieve your goals. Must be able to travel daily (8am-5pm M-F) to office in Northfield, IL (Chicago North Shore area).

Knowledge, Skills, and Abilities

Excellent written, verbal, organizational, time management, and customer service skills along with good attention to detail are required. Must be willing to be flexible with the ability to manage and administer several projects simultaneously. High-level of initiative and creativity and excellent follow-through is essential. A hands-on person is essential as well as being able to lend a hand at a moments notice. The ability to communicate effectively and tactfully with members and present a positive image of MFM through these communications is crucial. Advanced computer proficiency, including Microsoft Office, Outlook, Access, and some social networking preferred along with ability and willingness to learn new software and programs as necessary.
